Use of Generative Artificial Intelligence in Alliance Operations

Orbis Cascade Alliance employees may use generative artificial intelligence (GenAI) tools to enhance creativity, productivity, and efficiency in the delivery of Alliance services and programs. Use of GenAI tools for operational purposes complies with the Alliance employee handbook policy on the handling of confidential information; only public, low risk, and non-confidential information is input directly into GenAI tools by Alliance employees. 

To the extent practicable, content generated by Alliance-managed AI and GenAI tools is reviewed by Alliance employees prior to use or distribution, with the goal of identifying outputs that may include inaccurate information, copyright infringements, misinformation, or bias. When GenAI outputs are incorporated into materials that are made publicly available, or are otherwise intended for use by the Alliance community, the extent to which GenAI was used to author such materials is attributed. 

In general, only Alliance employees may use AI and GenAI tools within Alliance-operated or contracted systems and spaces; this includes, but is not limited to, the use of transcription tools and notetaking assistants for Alliance video calls (currently hosted in Zoom). The Alliance only uses basic AI-enhanced transcription tools; GenAI notetaking tools are not currently enabled for Alliance-hosted community, group, webinar, or training calls. Alliance community member requests to use third-party AI notetakers in Alliance-managed Zoom sessions or other group events must be made in advance to Alliance staff. In considering these requests, the Alliance will strive to balance accessibility needs with privacy and data security concerns inherent in third-party AI tools not subject to Alliance contractual protections. In most cases, only tools which provide accommodative functionality beyond that offered through Alliance-enabled tools (e.g. Zoom captioning, transcription, and recording) will be considered.
