Identifying IZ Records Linked to Deleted NZ Records

Context:

Member IZ records can sometimes be linked to a deleted NZ record, when the bib records have been:

  • Deleted from the member IZ, then
  • Deleted from the NZ, then
  • Restored from the IZ via “Manage Deleted Repository”

This document provides instructions on how to identify affected records and get them properly linked to the NZ.

Central process to identify the records for NZ-level restoration: (Run from the NZ)

  1. Run a report in NZ Analytics of each member’s records that are linked to the NZ. Include Network ID and MMS ID for each record.
  2. Use the Network IDs from each set to create an itemized set in the NZ.
  3. Use the “Add Members to Set” job error report to collect the unmatched IDs from step 2. These are records that the IZ may be linked to that are no longer in the NZ.
  4. In the member IZ, search for each Network ID. Records with no results in the Institution tab are false positives. Records with results in the Institution tab, but no results in the Network tab are true positives. Records with results in both tabs have already been restored.

True positives from step 4 should be restored in the NZ using “Manage Deleted Repository”. The record should be updated from WorldCat and any multimatches resolved at the time of restoration.

The Central process should be performed every 6 months.

Member process to identify records for NZ-level restoration: (Run from the IZ)

  1. Run a report in Analytics of your IZ’s records that are linked to the NZ and is not in the “Deleted” lifecycle. Include Network ID and MMS ID for each record.
  2. Send the Network IDs to the Tech Services PM, for creation of an itemized set in the NZ.
  3. The Tech Services PM will send back any unmatched IDs from step 2. These are records that the IZ may be linked to that are no longer in the NZ.
  4. In your IZ, search for each unmatched Network ID.
    1. Records with no results in the Institution tab are false positives. 
    2. Records with results in both tabs have already been restored.
    3. Records with results in the Institution tab, but no results in the Network tab are true positives. 
  5. True positives from step 4 should be sent to the Tech Services PM to be restored in the NZ using “Manage Deleted Repository”.  The Tech Services PM will update the record from WorldCat and resolve any multimatches at the time of restoration.
