Thursday March 13

1. Council was welcomed by Dr. Molly Smith, Provost.

2. Council members introduced themselves. Chris Shaffer reviewed the agenda

3. Linda DiBiase, and Kathi Fountain reported on the Ebook Working Group

4. Erin Passehl-Stoddart, and Jodi Allison-Bunnell reported on the National Leadership Grant from the Institute for Museum and Library Services

5. Chris Shaffer moderated a discussion on Strategic Planning with the Council members.

5.1 Chris Shaffer moderated a discussion on Initiatives, Programs, and Team Structure.

5.2 Michael Paulus presented and Chris moderated a discussion about special collections and archives activities including which activities are supported by all members, which should be offered as optional services, and which should include non-members.

6. Chris Shaffer moderated a discussion and question and answer time about the FY15 Budget.

Meeting was adjourned.

Friday March 14

7. Dalia Corkrum and Faye Chadwell presented and moderated a discussion of the concept of “One Collection”

8. Al Cornish gave a report and answered questions about the Shared ILS .

9. National Leadership Grant from the Institute for Museum and Library Services

The Motion was made and seconded that Orbis Cascade Alliance not implement the proposed Archives Engine West opt-in pilot project at this time.

Vote: In Favor: 35; Opposed 2; Abstentions: 0. The motion passed

10. Initiatives, Programs, and Team Structure (Chris Shaffer)

After much deliberation, Council changed “Published Content” to “Shared Content” and “Unique Content” to “Content Creation and Dissemination” and added a dotted line indicating the need for teams to communicate with each other. These changes are reflected in a new “Proposed Orbis Cascade Alliance Organizational Chart” displayed at the meeting.  A motion was made to adopt the recommendations proposed in the Board’s “Initiatives, Programs, and Team Structure” report with these changes.

Vote: In Favor: 35; Opposed 0; Abstentions: 0. The motion passed.

Chris Shaffer moved and Jane Carlin seconded the following motion:

I move that the Orbis Cascade Alliance Council endorse shared work to ensure wide visibility and access to special collections and archives, and charge the Content Creation & Dissemination Team to submit a report to the Alliance Board of Directors. The report should identify goals for shared work, describe potential activities in support of the goals, and identify which activities should be supported by all Alliance members, which should be offered as optional services, and which should include non-members.

Vote: In Favor: 35; Opposed 0; Abstentions: 0. The motion passed.

11. Council ran out of time so Chris Shaffer suggested that the FY15 budget conversation be conducted in a series of Webinars with the timing to be determined soon.
