"Too Long" reports:
INN-Reach reports for transactions in process too long

 

For reports marked to be run quarterly: prepare these reports at least four times a year – approximately every 3 months – on a schedule that suits the library's needs.

These reports (except for On Hold Shelf Too Long, see below) are based on the value -- a number of days -- set in a table by III. The value, or #, is set to be the same for all local sites. ALLIANCE members have agreed to use standard values for the reports that print at local institutions, so that the members will use common procedures and approaches for trouble-shooting. Changes, if any, will be determined through consortium discussion, and coordinated through ALLIANCE staff.

Paged Too Long

Your items requested by other ALLIANCE patrons.

Does not include checked-out items where status is due date, rather than status code ( for “Summit paged”

Potential reasons for items on PTL report: printer error and staff cleared the file without ensuring all the paging slips were printed; some paging slip(s) lost or in a problem pile; etc.  

"Date" column shows Date paging slip was printed.

Tip: Review daily to assure requests aren't piling up without being processed; cancel requests as necessary.  

If your paging slips include items checked out … Recommended practice:

Check stacks for items as appropriate. For items found: (optional: check in, and a paging slip will be produced)   Check out and send as usual.

3 days after Due Date, if still unable to fill, use Cancel with Re-request.  

If your paging slips do not include items checked out: Borrowing sites may contact you to Cancel requests that have been delayed, or seem to be “sitting in limbo” based on items in their Requested Too Long report.

Institutional Overdues

Your items loaned to other ALLIANCE institutions, and overdue.

In Transit Too Long

In transit from owning site to the Borrowing or PUA site, not yet checked in.

The report helps find items delayed in courier, or received but not yet checked in. Using patron record no., find patron name; check hold shelf; if item found, checkin as necessary and put back on hold shelf.   Initial display is sorted by owning library; suggested re-sort: by date. note: if   contacting a receiving site, watch for Borrowing (Patron) site vs. PUA site.

Received Too Long

Items on the Hold Shelf waiting for your patron to pick up.

potential problems:

  • item may have been given to patron without checking out
  • item may be at another of the institution’s pickup locations, and on the wrong hold shelf;
  • patron name may be misspelled or first/last name reversed, or book alphabetized incorrectly on hold shelf;
  • Owning Site may have failed to send the item after checking it out, or sent it to another institution.

At the library's discretion (not a requirement or standard practice) this report might be used to notify patrons that an item is waiting for pick up, and will be returned soon, so the # days is set to less than time on hold shelf.   Remember to check for PUA (Pickup Anywhere) location instead of Borrowing (Patron) site; this report includes your patron’s PUA items on a Hold Shelf at another site.

This feature uses the loan rule element TIME TO PICKUP.   After the system displays the list, staff may clear all or clear expired holds (based on the # of days in the loan rule)

Caution: item may have been given to patron without checking out.

Note: To identify Pickup Anywhere (PUA) items on your Hold Shelf go to Pickup Anywhere-Holdshelf mode, then select Show Expired Holds.

Returned Too Long

Items borrowed by your patrons, then checked in and returned to Owning Site -- not yet checked in at Owning Site.

Items marked as returned by you, the Borrower, to the Owning Site more than 7 days ago.   Possible reasons:

  • Checked in from patron, but shelved at Borrowing Site instead of returned to Owning Site
  • Returned, but not checked in at Owning Site
  • Returned to wrong place; shelved and not checked in

Tip : As you investigate, check Summit before contacting Owning Site; if it shows the item is "available" it's possible that it was returned to the Owning Site without the final check-in from Patron to clear the record, leaving an incomplete transaction. See Web page instructions.

Tip : to see call numbers instead of patron record #, use T>Toggle call no.

Tip : use +>additional options, R>Remove invalid virtual items to remove virtual items from your report which have an 'available' status in the Owning Site catalog. Then run the report again for the list showing only the items that truly need searching.   One local site reported that the list wasn’t “clearing”, III took care of it, said occasionally it “gets stuck”


Use Toggle to display call numbers instead of patron record #s. Example:

Pickup Anywhere and Too Long reports

The Too Long reports include only transactions with items or patrons belonging to that site.

A PUA site does not have access to Too Long reports residing on the Owning or Borrowing (Patron) site servers, and Too Long data is not stored in the PUA database.

PUA items on the hold shelf at a PUA site are not on the Hold Shelf reports for that library.
