This document is based on information originally prepared by Shirien Stevens, OBC Chair 1996/97, for initial implementation of Orbis Borrowing by the 12 institutions in the OPAC as of March 1997. Document modified Aug. 1997 and onward by Alliance staff.

When a new institution joins the Summit Borrowing program, a few modifications to existing members' tables are necessary.

Instructions here are for the new member, or existing member to check and update setup as necessary.

Summit Borrowing is like an automated, patron-initiated InterLibrary Loan, using the existing III software and circulation system to complete lending transactions between member libraries. INN-Reach circulation software at the central site, and added to the local sites, manages the patron request from the point of request in the central, or union catalog, through all stages of the request: paging at the owning site, institution checkout (to borrowing site), institution checkin (receipt at borrowing site), patron checkout, checkin at borrowing site, and final checkin at owning site. The software continually updates information in all 3 systems: owning, central, and borrowing.

Local and INN-Reach circ functions and software are very similar. Unlike the local circ system, however, central does not use local location codes to determine loan eligibility or due dates. Special Alliance institution and patron loan rules are added to all local sites according to standards described below.

To accommodate Summit Borrowing, staff at member libraries make changes and additions to several tables in the local Innopac. Some tables are circulation-specific and others may have impacts on other units, so staff should coordinate changes with Tech Services, Systems, and others who are involved in maintaining the Innopac tables.

In addition to local table modifications, test records are added to local databases. Alliance and member library staff use test records with essential bibliographic, item and patron information essential for testing software changes and enhancements as well as local procedures. Automatic blocks

Patron Agency: When the local site does not use patron agencies the generic value “999” should be used.   There are several fields in this table that are never used for Alliance patron types for INN-Reach (Summit Borrowing).   It shouldn't matter what the value is.   Long-standing committee practice has been to use a zero in these, and then later, the values can be changed if they will be used in Summit Borrowing transactions.  

This table reads from the top to the bottom, so don't put these new entries under any wild carded entry in the table, or the system won’t ever “read” and use them.

Item Status Codes ("circ" status codes")

Add the Summit item status codes to your status code table. Several status codes are unique to INN-Reach (union catalog) circulation systems; be sure to review how they display in the Central (Orbis) and local OPACs.

Remember that the status code table is pretty much the same for all Alliance libraries: the code values are the same, but the label (meaning) may be more specific for the local OPAC.

The Locations Served Table is a local table that regulates five things:

Be sure you check with all concerned parties before adding to these tables. Depending on the "validity" of the locs which are associated with the terminal that will be printing Alliance notices, and depending on your local library notice printing choices (all locs vs. specific ones), you may need to enter the 9***0 locs into this table.

Also be sure you've tied the appropriate locations served grouping to the terminals from which you'll be printing circ notices.

Branch code for Pickup Loc

Before joining a union database consortium, most libraries don't have a branch code for the main circulation desk. It's necessary to have one, however, for the union database environment. That's the code, or location, that will be used to show patrons, when they view their own patron record, where to pick up materials they have borrowed through Summit Borrowing. If you don't already have a code for the circ desk where patrons will pick up materials, then add a "dummy" location code to your branch code table. This code's label should be the Circ desk where you want patrons to pick up their requested items. Use the circ desk's address, too.

This "fake", or "dummy" loc code is used in the consolidated table of all Alliance Pickup Locations .

Notice Texts

Enter the texts of notices into your circulation notices table. Remember that some of these will be different for each institution (for example, the ones which relate to billing, etc.) and some will use the same (or very similar) wording (such as the "intent to bill" notice).

 

Loan rules

The consortium uses a set of standard loan rule values to determine loan period, renewals (including time remaining before renewal request allowed and renewal period), and eligibility to recall. The loan rule values will be the same at all local sites. Loan rules controlling fines and fees must be consistent with any adopted policies, but individual elements may vary at local sites depending on billing practices, grace periods, etc.

Patron: Alliance CRL Patron This is the rule for patrons that will be borrowing CRL materials via SB. Use the regular 3-week Alliance Patron loan rule as a guide, change loan period to 180.
Testing

Alliance Patr TEST A special loan rule, one for Alliance Patron and one for Alliance Institution, used for testing, and during circ training at new member sites.   Copy the Regular 3-week loan rules for patron and institution. To accomplish testing, the Loan Rule determiner will allow only PType 210 -- so PType 210 must exist in local PTypes table and Automatic patron blocks table.

Note about Local Location codes:

INN-Reach circ software does not use local location codes for determining loan eligibility, computing due dates, or any other INN-Reach request and loan functions.
