Ebooks: catalog records from vendors; matching? standards?

 

This is a preliminary report developed for an initial discussion among a small group with hands-on experience in the examples shown below. Once the issues are developed, the report will be modified as necessary. The report will serve as a foundation for a wider discussion, and developing an understanding or agreement of how the members and "central" (here at the Alliance office) can collaborate to load records into a system to meet members' individual needs and also avoid knowingly creating duplicate records in Summit. Of course, it would apply to records from various sources, not just Books24x7.

 

1. Record control numbers, and duplicate records

When searching Author "books24x7" Summit returns nearly 11,000 entries (!) Could there be as many as 3,000 "duplicate" records that should merge with another in Summit? An example is below.

Each member has unique MARC load tables, and in some cases has set up a protocol for creating an 001 or another field to store vendor record numbers. As you know, 001 was defined for "OCLC system number" and 035 is defined for other system numbers. While I understand the convenience and utility of using the 001, I believe we must collaborate on how to use it if it is for any purpose other than the OCLC number. Then, if we merge the records, can everyone live with being attached to a master record even if the descriptive catalog has minor differences? (the local headings will still be available in the local catalog) Let's talk! This could be fun, really.

Comments from member library staff:

We've learned that some of our Books24x7 001s begin with 'bks' and some begin with 'bkb'. Worse, we've discovered that duplicate records coming from Books24x7 over a period of, say, 4-6 months sometimes have different 001s (!). ... I don't see a good solution unless all Summit Books24x7 customers adopt the same load profile for Books24x7. Having no 001s isn't working. I've been thinking about the problem for a couple days, and tend to think we are in real trouble.

... Books24x7 [hasn't] made an effort to get their records into OCLC the way netLibrary has. If they had been available in OCLC, we ... would never have chosen to get them directly from the vendor.

I doubt that we can hope for an ebook parallel to CONSER's aggregator-neutral approach to ejournal cataloging, because there doesn't seem to be a standardizing organization for ebooks as CONSER is for serials.

Example of collaboration so that records for Early American Imprints purchased by members would merge in union catalog. On loading vendor records, L&C had directed the American Antiquarian Society (AAS) number to the 002 field; OSU had directed it to the 934 field. We helped develop a solution to assure the numbers would be identical (same prefix) and move the numbers to the 001 field in each local catalog.

1a. Vendors using ISBN and LCCN for print copy

Some vendors use the ISBN or the LCCN for a print copy to identify the electronic resource. Is this alright?

Example, LCCN (from ebrary) - should this number be tagged as 010 subfield z? See OCLC documentation http://www.oclc.org/bibformats/en/0xx/010.shtm

z Canceled/invalid LC control number (R). Required if applicable.

Invalid control numbers. Use also if the accuracy of the control number is in doubt. If one of the following conditions exists, the LC control number is invalid: The publication is a new edition but is printed with the control number of a previous edition.

6. Master record ownership

Issues and ideas to explore if records do match and merge:

a. Are the vendor-supplied records treated as copy cataloging? How much editing? Is there any reason to treat these differently than cataloging from OCLC? (Whichever record is selected as the master record will include editing made at the local site.)

b. Standards for Notes, added indexed fields, etc.?

c. Develop a standard MARC loader for ebooks?

e. Force master record ownership (use new "claim ownership" feature)?
