Cancel Request: Reasons |
When cancelling a Summit Borrowing request, indicate the reason:

| 1 | Not on shelf | Not on shelf | When prompted by the system to change the status to Missing, we strongly recommended allowing the system to do this. Otherwise, please be sure that local procedures result in status code change from <-> to other code such as <m> so the item will not be requested again until the problem is cleared up. |
| 2 | Ext.DueDate | Item has extended due date (may not be recalled). | Cancel with this reason only (1) in rare cases where local patron with book-in-hand has checked out or renewed the item prior to paging and checking out the item for Summit Borrowing, or (2) when you have searched Summit and know there are other copies that are available. Otherwise, allow the system and policy to work: requests are allowed for items as long as Due Date is less than 14 days. |
| 3 | Long overdue | Item long overdue. | |
| 4 | In process | Item still being processed (please request later). | |
| 5 | Cancel SSR | Item is available locally. | Sites set up for Same Site Requesting, to provide Distance Ed service, may use this reason to cancel requests for materials available in the vicinity of the patron placing the request (e.g. same campus, not off-campus). Do NOT use "Cancel Hold." Instead, in MilCirc, select item to cancel, right-click and choose option <Cancel Hold with No Re-Request> (tested by UW). (until Sept. 12, 2005, this reason was used for "Item too fragile/large to loan.") |
| 6 | Non-circulate | Local data error (item does not circulate). | Use this incident as a trigger for a project to identify groups of records that may be coded incorrectly and need fixing. Types of materials include Reference, special collections, and items too large or fragile to loan. Consider changing the IType or Status code on this and similar records. |
| 7 | Other | Enter an alternate cancellation reason. | Use this reason in the following circumstances: a. More than one part or volume, need specific information to process the request. (1) Add VOL field to item(s) as necessary, then (2) cancel the request and supply the reason: "Please request specific item(s) separately." b. More than one part or volume but Owning Site sends only as a set, or together. Cancel and supply the following reason: "Please request all parts individually, and request will be processed and sent as a set." c. Item record problems, especially related to early database design and "dummy" records, etc. Supply a reason such as: "Item record problem. Please consider requesting a different copy or volume." d. Item is booked for use (when the Institution Due Date would be less than 10 days before the item is needed) |
