This month we begin to plan for Pickup Anywhere.  The additional service supporting distance learning has been eagerly anticipated!  Members will see some extra effort for initial setup and daily processing, but patrons will be served more easily, and more directly, when studying or visiting away from their home library.  Combined with automated Visiting Patron and Request at Own Site, there are new choices for processing Summit Borrowing requests and offering expanded services.

New service for patrons

As the patron places a Summit Borrowing request, the patron will select a Pickup Institution and a specific pickup location from anywhere in the Alliance system.  The patron name and ID screen will be slightly modified to accommodate this additional choice.

The staff perspective

The display screens for processing the requests will look familiar even though there’s a lot of new behind-the-scenes processing and table data.  A new section will appear in MilCirc called PICKUP ANYWHERE, for access to Checkout, Receive, Return, and HoldShelf activities.

o         at the Owning Site:  Pickup Anywhere requests will show up in a separate paging slip file.  The paging slip is clearly marked with text “PICKUP ANYWHERE REQUEST.” Owning Site will use MilCirc PICKUP ANYWHERE to do the institution checkout.  The bookband/label will be marked to send the item to the Pickup Site (instead of the Borrowing Site).

o         at the Pickup Site:  Using MilCirc ‘PICKUP ANYWHERE’ Receive Item, staff will do the institution checkin and place item on hold shelf, checkout to patron, and checkin from patron for return to owning site.

Getting ready

1. Member institutions: identify the pickup desks.  Each institution selects one or more locations to provide this new service.  We’ll call this the “pickup desk.”  If you currently check out Summit Borrowing materials to patrons at 3 circulation desks but want to use only 1 as a “pickup desk” for patrons from other institutions, it’s easily arranged.

Please start thinking about which location(s) you’ll use to provide Pickup Anywhere service. Some time next month Alliance staff will solicit information about your pickup desk(s) and provide instructions on setting up the new code and location label. As you work with your colleagues to identify the appropriate place(s) you may want to consider the following:

o         service: it’s probably best to select a site open 7 days a week, year-round, and avoid designating pickup desks that have limited hours, days, etc.

o         code and label: Alliance staff will assign the code and work with you to develop a label that will be meaningful to patrons throughout the Summit Borrowing system who may not be familiar with local library names and various campuses, branches, etc.  Once assigned, the new location code will need to added to the branches (location) table and wherever other pickup locations are defined, such as Locations Served -- but not to the Loan Rule Determiner (Rule Selection table).

2. The Summit Borrowing Committee steering team will be working on a method to mark the bookband/label or paging slip so PICKUP ANYWHERE is immediately recognized and the item is directed into the right workflow at each step.
