In 2007 a working group developed recommendations to reduce duplicates in the Summit union catalog. This document provides information to help members as they profile and load records from sources other than OCLC.

Instructions
Use 001 field for system number
When the vendor supplies a stable record or "system" number that is unique to that bibliographic record and the same for each customer, use that number (with the appropriate prefix) for the 001 field. This number will be used to match to the same record purchased and loaded by other Alliance members.
How does the vendor # get into the 001 field?
When making arrangements with a vendor to supply records, describe how you want the number to be used in the 001 field, including instructions for MARC tag 001, indicators (if applicable for your database), and prefix. You may have the option to retain the number in another field such as 035 (local system #) and copy it to the 001.
If the vendor is unwilling to put the number in the 001 field, you can use a MARC loader, MarcEdit, or similar program for editing MARC records in batches. (Members adding or fixing 001 fields after loading: [to be supplied] )
Use a prefix with the system number
Be sure to add the established prefix from the chart below to the system number. The prefix ensures that the number will not duplicate a legitimate OCLC record number.
Caution: use an appropriate MARC loader (load table).
Watch for the following problems:
1. "ocm" or "ocn" prefix should not be included with any OCLC or non-OCLC number
2. The default for MARC loaders is usually set to strip alpha characters that precede numeric characters (such as ocm10048792). If the MARC loader rejects records that begin with an alpha character, try one of the options to solve the problem:
use a different MARC loader
design a new MARC loader
purchase a new MARC loader from III
"fool" the system by creating MARC records that begin with some numeric character such as the number 1 or 8 or 9, load the records to your catalog, then delete that initial numeric character using a MARC edit program (contact Terry Reese) or Global Update.

Using prefixes for local numbers? Members may be using prefixes for local projects or categories of records. While these records are not expected to match others in the union catalog, the number could match a record from another member that has happened to use the same prefix; in that case, the records will match and merge. Prefixes being used for local purposes are recorded here.
