Discovery: Patron Patron initiates request:
  • By searching local OPAC, and not finding an available copy, passing search through to Summit union catalog, or
  • By starting search in Summit union catalog.
  • Same, except search is passed through to WorldCat Group catalog. The button on the local software ("repeat search in Summit") will pass the call number through to WCG.
  • By starting search in WorldCatGroup catalog.

  • ILLiad libraries: patron starts search in ILLiad.
  • WorldCatResourceSharing (WCRS) and Clio libraries: patron starts search in First Search.
  • All: articles may be requested via ILL but not via Summit Borrowing.
 
Item Availability: System NNReach knows if an item is held by each local library, whether it is circulatable via Summit borrowing, and whether it's available to circulate. If no items are available within the Summit consortium Summit informs patron, and patron requests through her local ILL system. Via screen-scraping and/or using III's off-line circulation mode, VDX will know whether an item is held by each local library, whether it has an "available" status, but it is not clear to me that it will know whether the item's IType and/or location allows it to circulate via Summit Borrowing. Is this true? Probably the same. ILL systems don't check local libraries to see if the item is available or whether it circulates from that Library through ILL.

Patron Authentication: System NNReach asks patron which institution she is associated with and her name and unique patron identifier (varies by local library: student ID, university ID, K#, etc., and some also ask for a PIN). INNReach checks local patron database for manual or automatic blocks, exp. Date blocks, and Ptype. Each library will send patron records to OCLC. Records which have been changed from the day before will be resent each night. When the patron places a request VDX will check the patron's record in VDX to be sure there are no blocks, etc. Question: Since we will also receive requests through WCG from patrons who are not eligible for Summit borrowing, I think we said that we would send all Summit-eligible and ILL-eligible patron records to OCLC. If so, VDX would have to check for Summit-eligibility before authorizing a Summit request. I'm not sure whether VDX is planning to check PType for the Summit requests: we should find that out. EZ Proxy. Does this take into account getting into Millennium to check for exp. dates and blocks? Some ILL Systems may check whether patrons may borrow through ILL from local libraries. Some may ask the patron to select their status from a drop-down menu, but do not authenticate the patron's validity.  
Hold on Library's Record: System INNReach places a hold on the local library's item record. Status in local OPAC is "summit requested".Also, each library has the choice of allowing Same Site Requesting (SSR) where local patrons are allowed to page available items from their own library. (Example: UO allows SSR, but uses request circles to prohibit paging an available item from branch A to be picked up at Branch A. Request Circles permit a local patron to request an available item be paged from Branch A and delivered for pickup to Branch B at same institutiion). VDX places a bib level hold on the bib record at the book's library. Each library will probably be asked to make a patron record that VDX can use. Note: a single patron record will not suffice – it gets "busied" when too many requests are placed too quickly. Since we don't do Bib level holds, we're not sure how the system works regarding how to inform the patron of the pickup location when the item comes in (in case she wanted to pick it up in Science rather than Main.). Question: does it place a hold on the book library's bib record for the requesting patron's record? Also, SSR will need to be turned on for all libraries, and we think that Requiest Circles will need to be turned off so that the VDX software can place a local hold on any available item, regardless of its shelving location. don't know -- VDX and the requesting patron's record somehow need to talk together. WCRS and CLIO doesn't place holds in local catalogs for requested item. Don't know about ILLiad.

Printing Paging Slips (Pick lists): Staff NNREach places the request in the print notices function and staff print paging slips from Millennium printing function. Since the hold was placed in the Millennium system of each local library, staff can choose to print from their local Millennium printing function, or from VDX. If they print from Millennium, they'll also get all the local paging slips (for ILL, for patrons, for reserves, etc.) If they print from VDX they'll get only Summit paging slips (pick-lists). probably the same WCRS paging slips are printed from the "pending file". The UO has to run that through ILLAsap to get the UO's call number and loc code etc. on the paging slilp. I imagine that ILLiad and Clio have their own paging slips print file. What if they print from VDX – are those removed from Millennium so when they print their paging slips for local patrons, ILL, reserves, etc, those summit slips are gone? Or maybe it's a one-time choice: if you want to print from millennium, you cannot print from VDX, and vice versa?

Processing and packaging for the courier: staff Retrieve items from shelves. Checkout to borrowing institution (under inn-reach checkout). Put bookband or book label on the item. Make sure paging slip close to item barcode. Package the item for courier. Zetrieve items from shelves. Checkout the item to Milcirc institution record. Checkout or ship the item in VDX. Place bookband or book label on item. Package the item for courier. Same as on GoLive Day Retrieve items from shelves. Checkout item to local ILL account. Checkout item in ILL system. ILL system updates "resource sharing". Package the item for courier.  
Receiving the item from the lending library: Staff Check in items under Milcirc. Write patron name on the bookband. Put the item on the summit hold shelf. System e-mails patron the pickup notice. Receiving the item in VDX. VDX will create the due date. Write patron name and due date on the bookband. Put item on the hold shelf. If we decide not to create temporary records in Millennium manually , we will not use milcirc . If we decide we will create temporary records in Millennium. We need to create the bib and item record for the item. Then add a hold for the item under the patron record. Receiving the item in VDX. Check in the item in Milcirc to change the stats from in-transit to on-hold shelf. Write patron name on the bookband. Place the item on hold shelf. System will e-mail the pickup notice. Receive the item in ILL system. Create a onthefly record for ILL item. Checkout the item to the patron using the onthefly record. System creates the bookband with the due date. Place the bookband on the item. Place the item on the hold shelf. System e-mails patron the pickup notice.

Checking out to the patron: assigning due dates, sending notices, assessing overdue fines: staff Checkout under Milcirc. Due date is created in Milcirc. Three days before the due date courtesy e-mail will be send. Patron can request re-newal or patron can renew the item. Overdue notices will be e-mailed if the item is not returned or renewed. Replacement charges will be added to patron account and billing notice is send if the item is not returned. tem is checked out and waiting for the patron on the hold shelf. We hand the book to the patron. We are not sure if VDX will send out overdue notices or not. Any charges to the patron account will be done under manual charge. Checkout the item use Milcirc. All the notices will be sent by Milcirc. Charges will be added to patron record same as an inn-reach item. Item is checked out and waiting for the patron on the hold shelf. We hand the item to the patron. All notices and charge are done by Milcirc or ILLiad.  
Checking in from the patron: staff Check the item in using the regular Millennium check-in menu -- status changes to Summit returned Item is returned to the Circulation desk by patron and sent to the Summit processing area, as item is not checked out on patron's Millennium account. Check in the item use Milcirc Item is checked in using Milcirc or ILLiad

PUA: When patron place hold chose any Summit location as pick up spot. Processing at lending site is the same other than note on paging slip noting PUA, so only difference is placing PUA sticker on the item. At receiving site use INN-Reach Pickup Anywhere module for the 3 processes, to receive, check out, and return. No PUA. Maybe each institution will receive the item and mail it to the patron's home or another library? NO PUA. Local solution like the one above in place. ILL doesn't support PUA.  
Visiting Patron: Under INNReach function, select visitor checkout. Choose patron home institution. Click select. Scan patron barcode or University ID. System checks to see if patron is valid at home institutin. If there is no block patron record is displayed. Scan barcode. system generates due date. If patron returns book at home library or at library at which it was checked out, system will check in the book. Patrons must have a record created in the library they are visiting, and all circ transactions are goverend by the lending library's tables. Billing and payment of replacement costs as yet undetermined. Probably same as on GoLive Day ILL doesn't support reciprocal agreements.

Patrons viewing own record for checkouts, renewals, etc.: Patrons log into local OPAC and view own record. Can do renewals, can see stats of requests, can see item checked out through local circ as well as Summit borrowing. Patrons may be able to check their own record in VDX and see items checked out via Summit borrowing (VDX). . Will not see summit items in Millennium record. OCLC wants to work on getting local checkouts in the WCN interface for us as a future development. The future goal would be to get one patron interface for all request and loan management. ILLiad libraries patrons log into ILLiad for ILL books, Millennium for Summit and local books. WCRS libs: some may teach their patrons about their patron record in WCRS, or some key bib and item records in their local Millennium circ systems and check out books that way. Those patrons can then check their own record in the OPAC for ILL and local items checked out. ArtReach libs: article requests are listed in the local patron record.  
Notices sent to patrons: Since items from other Summit libraries are checked out in the patron's local circ system (using a virtual item record from the owning library's catalog), all notices to the patron are sent via the patron's library, referring to local loan rules. VDX can send notices. We probably need to re-examine the notices we told VDX to send, since we plan on using VDX for checkout and overdues, etc. when Navigator uses local loan rules for the checkout, we'll return to using the notices indicated by the appropriate local loan rule. Depends on how the item is checked out: through the local ILL system, or through the local Millennium Circ system.
