Courier 2006 Transit Time Study

Orbis Cascade Alliance staff will conduct a study of courier transit time this spring.

Who Who will be doing this? All dropsites will participate to some extent:
  All dropsites participating in Summit Borrowing will print and initiate tracking sheets as the sending site. Put a tracking sheet in everything that leaves the dropsite, regardless of kind of courier bag or package, including both Summit Borrowing and ILL.
  Any other dropsites that want to initiate tracking sheets are welcome to do so! Please let us know that you will be participating by printing and sending tracking sheets.
  Every dropsite will be receiving tracking sheets in the bags or packages they receive. As you open the packages, complete the tracking sheets and send them to the Alliance office.
When Alliance staff will send an email message reminding everyone just before and on the days for sending tracking sheets with packages and bags:

Friday, April 7

Monday, April 10
Tuesday, April 11

(An additional date(s) may be selected depending on participation, and amount of data received. We hope to receive a sufficient number of useable tracking sheets to have a fair sample of all areas and routes.)
Tracking sheets Print the tracking sheet. Make photocopies, on blue paper. Tip: You may want to fill in the FROM section before photocopying.

Send completed tracking sheets to the Alliance office in an envelope (about 9x12") inside a courier bag. Use the label available on the courier service label-maker, addressed to Univ. of Oregon - Alliance HQ. Here's an example.



   

 

Example: Step 1, Sending site

It's easy, 1-2-3. (1) Fill in your Dropsite name and initials, (2) circle the date that the package is leaving the Dropsite, and (3) fill in the destination TO. Warning: if you prepare packages the day/night before pickup, either prepare the tracking sheets the next day, or be sure to circle the date (next day) that the package will leave the Dropsite.


Example: Step 2, Receiving

(1) Circle the date that the package is received, (2) fill in your initials, and (3) fill in the # of days in transit. Days in transit: count each box between and including the circled dates, then subtract 1. In this example, there are 4 squares April 13-18, so count this as 3 days in transit.


Results


Tracking sheets -- one tracking sheet per package or bag -- were initiated at 51 (of the 65) dropsites, and every dropsite that receive a tracking
sheet completed it when the package was received. Alliance staff received more than 5,000 blue tracking sheets to review(!)

A few key findings:

Overall transit time is good! The average number of days in transit: 1.7

And more good news:

57% of all packages are delivered the next day, and

26% are delivered in two days

In a report based on averages, individual situations may be masked by the overall summary. The report, with detail, shows that some sites receive material more quickly than others, as you would guess. We'll be discussing the results with the vendor and working to improve individual situations as much as possible. See the complete report.
