Manifests

also called Pickup, or Shipping Record forms

Get it. The Shipping Manifest is available from this web site.

"Online." From an Internet Explorer web browser, you can just fill it in directly using your keyboard, then PRINT. Or,

You can copy the Excel spreadsheet to your own computer to use. You could keep each day's spreadsheet as an electronic file on your computer. Or,

Simply print it once and make copies to fill in manually each day. You may print enough for a month or so, but we recommend not printing hundreds. As dropsites change and we make other corrections and improvements to the form, we'll make an email announcement and post a revised form to the web site for you to get and use.

Fill it out. Fill in the number of packages being sent to each dropsite. If you use it as an Excel spreadsheet, you'll notice that the total will automatically be calculated and show up at the bottom.

Keep or make a copy after the form is completed (either paper or electronic). The daily manifests are used in preparing the monthly shipping statistics summary.
(Since Fall 2002, it is not necessary to give a copy to the courier.)

Shipping labels

"FROM" The FROM section must include the name of the sending library, and nothing else is required. Please use the dropsite name as it's shown on the list of dropsites, to the greatest extent possible. You do not need to include the street address; if adding the city and state helps clarify, that's fine.

"Attention" Use this section to write in the name of a participating library that receives materials forwarded from a dropsite. Libraries may also use this space for other handling information for the dropsite to read. This space is not used by the courier.

Pickup/delivery schedule

Courier is obligated to arrive at the library each day within the one-hour window (for example, between 1 and 2 PM, or 13:00-14:00). If the courier is coming at a time other than that shown on the official schedule, contact Orbis Cascade Alliance by e-mail or call Travis Honea at (541) 346-1883. We will work with the vendor to assure reliable, predictable service, and/or change the official scheduled pickup/delivery time as appropriate.

 

Package delivery error

If the courier has brought a package intended for some other dropsite,

  • Refuse receipt. Don't let the courier leave the package for you - it should just go right back on the van to get to its destination.
  • If you did not check the delivery and discover later that a package for some other dropsite was left at your library, give it to the courier at the next visit. Do not list it as an outgoing item on your shipping record (manifest) since it is not a package originating at your dropsite.

 

Monthly statistics

Each month, dropsites complete a monthly statistics form. The report covers the previous month's shipping activity. Send it to the Orbis Cascade Alliance office by the 15th of the month. Monthly statistics form: Please use the online version, which is an Excel spreadsheet. It automatically provides totals, and you can make a copy, printed or as a file to keep for your own records!


e-mail list

Staff at libraries participating in the courier service (drop-sites and forwarding sites) are invited to subscribe to an email listserv. Please send us your name, title, institution, and email address. In the subject line or body of the message, request to be added to the Courier email listserv.
